When you use Trakkr, we collect the minimum information needed to make the product work. Here is exactly what that includes:
How we use it
Everything we collect has a purpose. Here is what we do with your information:
- Run the AI visibility tracking you signed up for
- Send you reports and alerts about your brand mentions
- Process your payments and manage your subscription
- Send important updates about your account or the service
- Answer your questions when you reach out to support
- Improve Trakkr based on how people actually use it
- Keep the service secure and catch any suspicious activity
We do not use your data for advertising. We do not build profiles about you to sell to others. The business model is simple: you pay us for a useful product.
Under UK data protection law, we rely on a few legal bases for using your data: to provide the service you signed up for and bill you for it (performing our contract); our legitimate interests in operating, securing, and improving Trakkr; your consent where we ask for it (such as optional advertising cookies); and meeting our legal obligations (like keeping tax records).
How we protect it
Security is not just a checkbox for us. Here is how we keep your data safe:
- All data is encrypted when it travels over the internet (TLS)
- All data is encrypted when it sits in our database (AES-256)
- We use secure, reputable infrastructure providers
- Access to your data is limited to team members who actually need it
- We regularly review our security practices
That said, no system is 100% bulletproof. We do our best, but we cannot guarantee absolute security. If you ever notice something suspicious with your account, please let us know immediately.
How long we keep it
We keep your data for as long as you have an account with us. After you close your account, we delete your personal information within 30 days.
Some things stick around a bit longer for legal or business reasons:
- Transaction records (we need these for accounting)
- Security logs (in case we need to investigate something)
- Data we are legally required to keep

Your rights
Your data, your rules. Here is what you can do:
- See what data we have about you
- Get a copy of your data in a portable format
- Fix anything that is wrong or out of date
- Delete your account and all associated data
- Object to how we are using your data
- Withdraw consent at any time
Most of this you can do right from your account settings. For anything else, just email [email protected]. We aim to respond within 48 hours.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator — though we’d appreciate the chance to put things right directly first.
International transfers
Trakkr is based in the UK, but our infrastructure spans multiple countries. Your data might be processed in the US, EU, or other regions where our service providers operate.
When data crosses borders, we make sure it stays protected. Where data is transferred outside the UK or EU, we rely on appropriate safeguards — such as the UK International Data Transfer Agreement, standard contractual clauses, or providers covered by a recognised adequacy framework.
Children
Trakkr is a business tool designed for professionals. It is not meant for anyone under 16, and we do not knowingly collect information from children.
If you are a parent and believe your child has somehow signed up, please contact us at [email protected] and we will delete the account immediately.
Google user data
Trakkr lets you connect your own Gmail account so outreach emails go out from your real address. This is entirely optional — you only connect Gmail if you choose to, and you can disconnect it anytime from your settings.

Changes
Laws change, our service evolves, and sometimes we need to update this policy. When we do, we will:

- Email you about any significant changes
- Give you time to review before changes take effect
If you keep using Trakkr after we make changes, that counts as acceptance. If you disagree with a change, you can always close your account.
