Portal branding

Your portal's visual identity is the first thing clients see. The Branding section in Settings lets you customize every visual element.

Note
Auto-save: All branding changes save automatically as you type. You'll see a brief "Saving..." indicator, then "Saved" confirmation. No need to click a save button.

Portal name

The name that appears throughout the portal - in the header, browser tab, emails, and footer.

Examples:

  • "Acme Insights"
  • "Acme AI Dashboard"
  • "Acme Visibility Portal"

Tips:

  • Keep it concise (2-4 words)
  • Match your agency's brand voice
  • Avoid generic terms like "Client Portal" or "Analytics"
  • This name will be used in email signatures and welcome messages

Your agency logo is displayed in several places:

Tips:

  • Use a horizontal/landscape logo for best fit
  • Ensure your logo is readable at small sizes
  • Test how it looks on the white background
  • If your logo is square, it will be constrained to 48px height

Favicon

The small icon shown in browser tabs and bookmarks.

If you don't upload a favicon, the portal will use a default icon.

Accent color

Your primary brand color used throughout the portal for:

  • Buttons and CTAs
  • Links and active states
  • Progress indicators and badges
  • Highlights and focus states

How to set:

  1. 1Enter a hex code directly (e.g., #0066CC)
  2. 2Or use the color picker to select visually

Automatic color derivation: Trakkr automatically generates a complete color palette from your accent color:

  • Hover states - Slightly darker for button hovers
  • Subtle backgrounds - Light tint for badges and highlights
  • Focus rings - Accessible focus indicators
Warning
Contrast warning: If your chosen color doesn't have sufficient contrast against white backgrounds (WCAG AA standard), you'll see a warning. Low-contrast colors can make text hard to read - consider choosing a darker shade.

Login page customization

The login page is often the first thing clients see. Customize it to match your brand.

Login headline (optional)

A main heading displayed on the login page above the login form.

Examples:

  • "Welcome to Acme Insights"
  • "AI Visibility Dashboard"
  • "Your Brand Intelligence Hub"

Login tagline (optional)

A secondary line below the headline, often describing what the portal offers.

Examples:

  • "Track how AI sees your brand"
  • "Real-time visibility monitoring"
  • "Powered by AI search intelligence"

Tips:

  • Keep the headline short (3-5 words)
  • The tagline can be slightly longer but stay concise
  • Both are optional - leave blank for a minimal look
  • Preview your login page to see how it looks

Email branding

Set up your email domain so client communications come from your domain (e.g., [email protected]) instead of Trakkr's domain.

Setting up your email domain

Step 1: Configure sender details

In Settings → White-Label → Email, enter:

  • From name: How your agency appears in inboxes (e.g., "Acme Analytics")
  • Reply-to email: Where replies go (e.g., [email protected])
  • Email domain: The domain to send from (e.g., agencyname.com)

Step 2: Add DNS records

After entering your domain, Trakkr displays the DNS records you need to add. You'll need to add both SPF and DKIM records for proper email authentication.

SPF Record (TXT):

Add this TXT record to your domain's DNS:

Note
If you already have an SPF record, don't create a second one. Instead, add include:spf.brevo.com to your existing record before the ~all or -all.

DKIM Records (CNAME):

Add these CNAME records for email signing:

Step 3: Verify

After adding the DNS records:

  1. 1Return to Settings → White-Label → Email
  2. 2Click Verify DNS
  3. 3Trakkr checks each record individually

Status indicators:

  • SPF: Pending/Verified - Shows SPF record status
  • DKIM: Pending/Verified - Shows DKIM record status

Both must be verified before emails can send from your domain. Verification typically completes within minutes, but DNS propagation can take up to 24 hours.

Email types sent

Once configured, these emails send from your branded domain:

  • Invite emails - When you invite a client to the portal
  • Password reset - When clients reset their password
  • Report notifications - Automated report delivery (if enabled)
  • Welcome emails - After client creates their account

Test email

After verification completes, use the Send Test Email button to:

  1. 1Verify emails are sending correctly
  2. 2See how your branding looks in an actual inbox
  3. 3Check that your logo and colors render properly

Email preview

Click Preview Email to see a mockup of how branded emails will look, including:

  • Your logo in the header
  • Your portal name
  • Your accent color in buttons
  • Footer with your agency info

Custom onboarding content

Make the client experience feel like your own product with custom onboarding content.

Welcome message

A modal shown to clients on their first login. This is your chance to welcome them and set expectations.

What to include:

  • Welcome greeting
  • Brief explanation of what they'll find
  • Any instructions specific to your service
  • Your support contact

Settings:

  • Welcome title: The heading of the modal (e.g., "Welcome to Acme Insights")
  • Welcome message: The body content (supports line breaks)
  • CTA button text: What the dismiss button says (default: "Get Started")

Clients can dismiss this modal and it won't show again.

Methodology content

Explain how your AI visibility tracking works. This appears on the "About" page in the client portal.

What to include:

  • How visibility scores are calculated
  • What data sources you track
  • How often data updates
  • Any methodology unique to your service

Tips:

  • Write for a non-technical audience
  • Focus on what clients care about (their brand)
  • Keep it concise but informative
  • Update if your approach changes

Feature descriptions

Override the default descriptions for features shown in the sidebar. Useful if you want to:

  • Use terminology that matches your service
  • Emphasize specific aspects of each feature
  • Align descriptions with your sales messaging

Available features to customize:

  • Dashboard
  • Perception
  • Citations
  • Competitors
  • Prompts

Leave any description blank to use Trakkr's default.

Help URL and support email

Help URL: Link to your agency's help center or documentation

  • Shown in "Need help?" links throughout the portal
  • Example: https://help.acme-agency.com

Support email: Your client support email

If not set, help links will point to Trakkr's documentation (which you may want to avoid for a fully white-labeled experience).


Control what appears at the bottom of every portal page.

Default: "© {current year} {portal name}"

Custom: Override with your own text

  • Example: "© 2026 Acme Agency. All rights reserved."

Add up to 4 links to your footer:

Each link has:

  • Label: Display text (e.g., "Privacy")
  • URL: Where it links to (e.g., https://acme.com/privacy)

"Powered by Trakkr"

By default, "Powered by Trakkr" is hidden in white-label portals. Your clients won't see any Trakkr attribution unless you choose to show it.


Live preview

As you make changes, the preview panel on the right side of the screen shows real-time updates.

Preview modes:

Tips:

  • Toggle between modes to check all views
  • Pay attention to how your logo fits in the header
  • Check that your accent color is readable
  • Test how the login page looks with and without headline/tagline
Note
The preview updates instantly as you type - no need to save first. Changes auto-save in the background.

Email preview

In the Email section, click Preview Email to see a mockup of:

  • Invite email template
  • Report notification template
  • Password reset template

This shows your logo, colors, and portal name as clients will see them.


Best practices

Visual consistency

  • Use the same logo you use on your agency website
  • Match your accent color to your brand guidelines
  • Keep the portal name consistent with how you refer to your service

Accessibility

  • Choose an accent color with good contrast (the warning will help)
  • Test your logo on white backgrounds
  • Ensure any custom text is readable

Professional polish

  • Fill out all branding fields for a complete experience
  • Set up email branding for a fully branded communication flow
  • Write a thoughtful welcome message
  • Add your privacy policy and terms links

Testing

  • Preview all views (login, dashboard, mobile) before going live
  • Send a test email to yourself
  • Log in as a test client to experience the full flow
  • Check how PDFs look with your branding
